One challenge we face in building this category is how to briefly communicate what a business playbook is, why every company needs one, and how Trainual solves that problem. Explaining this is especially challenging because we serve businesses across various industries and verticals.


We wanted a way to showcase a curated and interactive version of what it feels like to be within our product. 

The goals were: 1) to get users to the light bulb “a-ha” moment before even starting a trial, and 2) to communicate value earlier in the evaluation process.

We had considered potentially building an interactive demo experience in-house. However, building that experience would have added another major project in an unproven and brand-new initiative that would have required significant engineering resources to create and launch.

Ultimately, we realized that building it in-house was not the right fit.

What was the problem you were initially facing?

Before Navattic, prospective customers had to wait 2-3 weeks to get a demo and even longer to get a test drive. We were looking for an on-demand demo that met our customers where they were.

In our evaluation, we completed a POC with two

We found that some platforms were quite feature-rich, but unfortunately cumbersome to use - it took us a long time to build out a single demo.  We also looked at vendors that offered primarily screenshot-based solutions, but decided it was important to equip our sales team with truly interactive content that represented our software well.

The challenge: scaling sales and keeping documentation current

The pain points at Vantage were coming from two directions at once.

On the sales side, Jeremy's team faced a high-growth squeeze: strong inbound volume, a lean team, and no clean way to scale without hiring. Pre-call prep and post-call follow-up meant an SE had to set up dummy data and clean up the platform, a process that could take 30 minutes to an hour per deliverable.

On the documentation side, Danielle had spent 2.5 years building Vantage University from scratch, a learning hub with videos, written guides, and role-based tracks for personas such as FinOps analysts, developers, and finance managers. But video had become a maintenance burden. "With a YouTube video, if I change even just one second of it, I'm going to have to upload a brand new video. Whereas with Navattic, it's the original one," Danielle explained.

Users were also asking for something video couldn't provide: a safe environment to try new features. "Videos are really good, but I actually want to be able to try something myself in an environment where I don't want to do it in my own Vantage account because I could potentially mess up someone else's reports," Danielle said.

Jeremy’s sales counterpart had used Navattic at a previous company and immediately recognized the fit when he joined Vantage. The evaluation was quick; they looked at a few other competitors and reviewed other

"We use it up front to qualify. We also use it as follow-up material. It helps accelerate in the beginning as well as with some of the follow-ups, so we don't have to just keep getting on call after call after call," Jeremy said. Demos also help Vantage get wider within accounts. When a demo gets forwarded beyond the original attendees, it opens doors that a remote team can't open any other way.

At AWS’s re:Invent conference, two screens at Vantage's booth ran Navattic demos on loop. Their G2 listing features a live interactive demo. The marketing team is also embedding demos in their demo registration page and using them for SDR outbound.

The SE team tracks time saved through rep utilization metrics in Navattic; time that used to go into intro demos with manual prep now goes back into higher-value customer-facing work. The sales process has also improved: by sharing demos ahead of presentations, Vantage can see what prospects have already reviewed and tailor the conversation accordingly. "Now, almost all of our prospects check out the demos and come to a first call prepared for a deeper conversation about the problem they're facing," Jeremy said.

On the documentation side, the feedback on the Vantage University relaunch has been consistently positive, particularly notable for a tech startup. "People look at where we're at as a startup, and they're like, 'It's good that you actually have something built out like that. That's not always the case,'" Danielle shared.

Jeremy wants to expand the rep-led use case and is watching Navattic's AI agent capabilities for lower-touch, SMB scenarios. Danielle plans to embed more interactive demos directly into Vantage's procedural documentation beyond the University. And the broader goal is cultural: Jeremy wants Navattic to be a shared building tool across every team. "I looped in Danielle and Emily and a few others because I want us all to be building together and able to use those demos everywhere."

What was the original problem you were facing?

Our Solutions Consultants team had previously used a video library platform, but the platform's functionality had begun to degrade. It was delivering a freemium feel to our product.

Videos were also expensive to maintain, required extensive technical expertise to produce, and quickly became outdated as the product evolved. Getting sales reps to actually use video content was also difficult.

Rather than simply finding a like-for-like replacement, we saw an opening to do something more ambitious. We had three core use cases we wanted to address at once:

Our Solution Consultants needed a way to send polished, interactive follow-ups after technical demos and Account Executives wanted to share relevant workflows with prospects before looping in the SC team. A static video couldn't do that effectively.

Kevin says, "Initially, we were actually looking for a replacement for a solution consultant utility. The main driver for why we were replacing or looking for a utility was inside the sales aspect. We wanted something that reps could use for both prospecting and prospect engagement."

 As a product marketing team, the problem was a familiar one: it's genuinely difficult to show how a complex B2B product works without putting a huge burden on engineering (to spin up live environments) or design (to animate fake UI). The result was a website that talked a lot and showed very little.

"Our product was almost hidden. Historically, from a challenge perspective, as a product marketer, it's really hard to effectively communicate how your product works and functions, and you can talk about all the benefits, and you can talk about how it works.”
